1. Who we are
Phoenix Multimedia ("we", "us", "our") creates and publishes interactive puzzle books. Our website is phoenixmultimedia.online. For any privacy-related inquiries, contact us at contact@phoenixmultimedia.online.
2. What data we collect
We collect personal data only when you voluntarily provide it through our website:
Contact form
- Name
- Email address
- Subject (optional)
- Message content
- IP address and browser type (collected automatically with the copy we keep, for security and spam prevention)
Contact messages are delivered to our inbox by email through FormSubmit (formsubmit.co), and a copy is also stored in our own system so we can keep track of your message and reply.
Beta reader signup
- Name
- Email address
- Date of birth (used solely to confirm you are at least 16 years old)
- Country of residence
- Your answers to the beta reader questionnaire (for example, the puzzles and devices you use)
- IP address and browser type (collected automatically as part of your consent record)
3. Why we collect it (legal basis)
Contact form: We process your data based on our legitimate interest in responding to your inquiry (GDPR Article 6(1)(f)).
Beta reader signup: We process your data based on your explicit consent (GDPR Article 6(1)(a)). You must actively check a consent box before submitting. You may withdraw consent at any time.
4. How we use your data
- To respond to contact form submissions
- To communicate beta reading opportunities and related updates to beta readers who have opted in
- To confirm you meet our minimum age of 16, using your date of birth
- To match beta readers with books that suit them, using your questionnaire answers
We do not use your data for marketing, profiling, automated decision-making, or any purpose other than those stated above.
5. Who we share your data with
We do not sell, trade, or rent your personal data. We share it only with the service providers we need to run the site:
- Our web hosting provider, whose servers store our database. It is only accessible by authorized administrators of Phoenix Multimedia.
- FormSubmit (formsubmit.co), which forwards contact form messages to our email inbox. See formsubmit.co for how it handles data.
- Google Analytics, only if you accept analytics cookies (see Cookies and analytics).
6. How long we keep your data
- Contact messages: The copy in our own system is kept for up to 2 years, then permanently deleted. The email delivered through FormSubmit stays in our inbox until we delete it.
- Unconfirmed beta reader signups: If you don't confirm your email address, your signup is deleted automatically after 7 days.
- Beta reader data: Kept for as long as your consent remains active. When you unsubscribe or delete your data, we permanently delete your record (name, email address, date of birth, country, tier and consent record, including the IP address and browser details), your questionnaire answers, our copies of emails we sent you, and your place in any newsletter mailing. Our internal admin activity log keeps only anonymous entries (a record number, never your name or email address). If you asked us to resend your link, a one-way keyed hash of your email address stays in our anti-abuse rate-limit table for at most 2 days.
7. Your rights
Under GDPR and applicable data protection laws, you have the following rights:
- Right of access: you can view all personal data we hold about you.
- Right to rectification: you can ask us to correct inaccurate data.
- Right to erasure ("right to be forgotten"): you can request deletion of your data at any time.
- Right to data portability: you can download your data in a machine-readable format (JSON).
- Right to withdraw consent: you can unsubscribe from our beta reader list at any time using the link provided in every email.
- Right to lodge a complaint: you can file a complaint with your local data protection authority.
How to exercise your rights
Beta readers: Every email we send includes a link to a page where you can view all the data we hold about you (your profile, consent record, questionnaire answers and the emails we have sent you), download it as a file, or delete it, plus an unsubscribe link. Unsubscribing or deleting your data asks you to confirm, then permanently deletes everything listed above. Lost your emails? Use the "Lost your link?" form on the Beta Readers page.
Everyone: You can email us at contact@phoenixmultimedia.online with any data-related request. We will respond within 30 days.
8. Children's privacy
Our beta reader program requires participants to be at least 16 years old. We confirm your age during signup using your date of birth. We do not knowingly collect personal data from anyone under 16. If we discover that a person under 16 has signed up, we will immediately delete their data.
9. Cookies and analytics
When you first visit, we ask whether you accept analytics cookies. We use Google Analytics (GA4) to understand how visitors use our website, and it is loaded only after you click Accept. If you decline, Google Analytics is never loaded and sets no cookies.
When enabled, Google Analytics uses cookies to collect usage data such as pages visited, time on site, and general geographic location. We use it in aggregate only, never to identify you.
We remember your choice in your browser's local storage (pm_cookie_consent) and in a small first-party cookie (cookie_consent), so we don't ask again on every page. These store only "accepted" or "declined".
You can change your mind at any time with the Cookie settings link in the footer of every page. You can also clear cookies in your browser settings; the site works the same either way.

10. Data security
We take reasonable measures to protect your personal data, including:
- HTTPS encryption on all pages
- Secure password hashing for administrator accounts
- Spam traps, rate limiting and origin checks on our forms
- Access controls limiting data access to authorized administrators
No method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.
11. International transfers
Our servers are located in the United States. If you are accessing our website from outside the United States, please be aware that your data may be transferred to and processed in the United States. By using our website and providing your data, you consent to this transfer.
12. Changes to this policy
We may update this privacy policy from time to time. Any changes will be posted on this page with an updated revision date. We encourage you to review this page periodically.
